Alcor... Expiry of Alcor Accounts



Holders of Alcor research accounts (faculty, staff, and graduate
students) must renew their Alcor accounts on an regular basis,
and IITS sends out renewal notices annually in April.
The renewal notice for a student research account is sent to the
student's faculty supervisor who is asked to act upon it.  Under
normal situations, the research student does nothing.  If the 
faculty supervisor requests that a student research account NOT
be renewed then the research student is notified be e-mail.

Student accounts, those identified with an underscore character
(_) placed within the account name, are renewed automatically as
long as the student remains registered for at least one course
each term.  Automated checks are made weekly during terms to ensure
that all Alcor student account holders are still taking at least
one course; accounts which do not fulfill that condition are
removed.  So if you do not register for a given term, you should
expect your account to get removed by about the third week of that
term.  If you drop all of your courses, your account will be removed 
shortly after your last course is dropped..  An e-mail message is 
sent to the account one week before it is suspended.

The summer term is handled differently, since many students take
a break from studies over the summer.  To keep an Alcor account
over the summer, a student must either be registered for a
summer course (in either summer term), or be pre-registered for
courses in the fall semester.  The verification of this
condition is made near the beginning of the first summer term,
and accounts which do not fulfill the conditions are removed
following a one week warning.

Graduating students and students not registered in a summer
course or pre-registered for the fall will lose access to their
Alcor accounts following a one week warning when the verification 
is made.
Since independent students are not permitted to pre-register,
they should take particular note of this.

Note: the "summer verification date" is generally performed on or after May 10.

Additional note: accounts which remain unused for a period of more than 5 months (student accounts) or 6 months (other accounts) will be blocked, and eventually removed. Two e-mail warnings will be sent first, at one-week intervals, in case the account is being used for mail forwarding. Accounts "blocked for idleness" can be reactivated (or re-created after they have been deleted) by presenting ID at the Service Areas (H 925 or CC 207).
